Non-profit Society - event promotion campaign

Organization: The Pender Harbour Living Heritage Society. A  local, volunteer-run, non-profit society that holds various events and exhibits throughout the year.

Role: As a volunteer for the society for almost 18 years, Judy wears many hats, including as a long-time member of the board of directors and the person in charge of all things web-related. Below are excerpts from a promotional campaign for the annual April Tools Wooden Boat Challenge community event.

Campaign summary:

Goals:

  • Create awareness and generate excitement about this fun and quirky annual event that brings visitors to the Pender Harbour area after the long, wet winters.

Target audiences:

  • Teams, including past participants and potential new teams. Pump up the rivalry among returning teams and entice new challengers to try their skills.

  • Spectators in the Pender Harbour area and the wider Sunshine Coast. Promote the family-friendliness of the event, the excitement of the team rivalries, and the overall fun day out.

Tasks:

  • Drum up excitement early in the year to recruit returning and new teams to participate. Team recruitment efforts continue for 2-3 months.

  • Inform/remind the community about the event. As the event approaches, do a last call for teams and remind the local and wider community of the date and details.

  • Update the website multiple times throughout the campaign months, create (write, simple graphics, simple video) website, social posts, and newsletters. Post on various social platforms, as well as local and wider community platforms. Create ads and editorials for local newspapers.

Campaign Excerpts

January 2026

A social post calling for teams to sign up for the 2026 April Tools Wooden Boat Challenge event. Since the event's and community social channels are usually quiet from May until January, we have a little fun with the language and photo to grab attention.

March 2026

A social post calling for team registrations by hamming up the rivalry between the 5-7 teams that return almost every year to compete against each other. One team — the Garden Bay Fireflies, which represent the local volunteer fire department — has come in first place over 75% of the time for this long-running event.

Early April 2026

A social post with one more call for teams and a reminder to community members about the event date coming up and where to find more details. It features photos from previous years and a reminder of fan favourites, the Garden Bay Fireflies.

Mid-April 2026

A social post reminding community members of the event date and where to find more details, as well as all the family-friendly activities on event day, in addition to watching the boat building and the races.

April 2026 - Pre event

A society newsletter promoting the annual April Tools Wooden Boat Challenge community event, as well as the society’s annual handmade cedar strip canoe raffle fundraiser, which launches the same day as the April Tools event. This image is a partial excerpt of the newsletter, which is available to view in full as an image file (png).

April 2026 - Post event

A final website update with event results including a recap of the the twist challenge, the build, the race action, the results and winners, including photos and sponsor thanks. This image is a partial excerpt from the event page on the website. View the full event page on penderharbourheritage.ca
